Board of Directors Positions

The Krakens Board of Directors is comprised of several volunteers who work to guide and direct the Krakens swim team to fulfill its overall mission as stated in the By-Laws. The Board is made up of the following positions:

President

  • Serve as the week-to-week liaison between the Board of Directors and the Coach, acting to facilitate the implementation of the guidelines established by the Board for the coaching staff. The primary purpose of this position is to establish a structured, consistent framework that will allow regular two-way interaction between the Board of Directors and the coaches.
  • Preside at all meetings of members of the Board, have general and active management of the business of the KFKST, and see that all orders and resolutions of the Board are carried into effect.
  • Appoint standing and special committees, subject to the approval of the Board, and serve as an ex-officio member of such committees, except for the nominating committee.
  • Perform such other duties as the Board may direct.
  • Have the power to appoint committees from among the membership from time to time as he or she may in his/her discretion decide is appropriate to assist in the conduct of the business of the KFKST. 

Vice President

  • In the absence of the President, in conjunction with the Secretary, have all the powers of the President, and the two of them acting together shall see that all orders and resolutions of the Board are carried into effect.
  • Be the primary Board member responsible for all equipment purchases necessary to support the team.
  • Coordinate volunteers for all meets. Responsible for checking volunteers in at meets and properly assigning credit for volunteer points
  • Responsible for the meet equipment including starter and stopwatches, and all away meet needs. 
  • Coordinates with the Parent Liaison, Team Representative, and Referee during meets to handle any situation that may arise.
  • Perform such other duties as the Board may direct.

Treasurer
The Treasurer provides accounting and financial support to the Board, including disbursement of checks, retaining records of swim KFKST expenditures, and preparation of reports requested by the Board. The Treasurer is provided with an approved budget by the General Membership and monitors all disbursements for consistency with said budget. In cooperation with the Board, the Treasurer prepares a financial statement for distribution at the annual membership meetings, which includes a start-of-year budget, performance against that budget, and proposed next year's budget. In support of these responsibilities, the Treasurer maintains a notebook of all financial records for the current and prior years.

The Treasurer will also assume responsibility of filing quarterly statements as required by state and federal government either with or without the assistance of a paid or volunteer certified tax accountant. The KFKST will elect to utilize the services of such tax accountants if the KFKST budget allows for such expense.

Secretary/Committee Lead
The Secretary shall prepare and distribute minutes of all meetings and, upon Board approval, post the minutes for General Membership review. The Secretary shall maintain the records for the KFKST swim season, including registration materials, minutes, correspondence, announcements, and notices, and furnish those records to the Board President at the fall meeting.

As Committee Liaison, shall provide support to and oversee the activities of the committee lead volunteers for the following committees:

  • Fundraising and Sponsorships
  • Spirit Wear
  • Social
  • Historian
  • Concessions

Team Rep
The primary responsibility of the Team Representative is to represent the KFKST to the ODSL Board and other teams within the league. The Team Representative is responsible for knowing the ODSL rules and coordinating any special requests or deviations from standard practice for swim meets. All disputes between teams shall be mediated by the KFKST Team Representative and the Team Representative of the opposing team. The Team Representative is responsible for ODSL representation including;

  • Representing the KFKST in matters requiring votes of the ODSL membership
  • Coordination of meets with other ODSL teams
  • Knowledge of the ODSL league rules
  • Cancelation or postponement of any meet in accordance with the league rules and safety considerations
  • Coordination of the meet schedule with ODSL and the KFKST Board and subsequently the Kirkpatrick Farms HOA Board of Directors
  • The Team Representative is required to be present at all swim meets for the entire duration of the meet 

Parent Liaison
The main responsibility of the Parent Liaison is to represent the member parents to the coaches. They are responsible for listening to and understanding the parents’ concerns and issues as well as properly disseminating information from the Board and coaches to parents. The Parent Liaison is responsible for:

  • Being present at least one practice a day as a parent resource.
  • Meet with the coaches regularly to review issues, and gather information and upcoming needs from the coaching staff.
  • Respond to parent and member emails in a timely fashion.
  • Send out weekly updates and information emails
  • Send out practice change and pool closing notifications

Computer Operator
The primary responsibility of the computer operator is to maintain the records concerning swimmers’ times and to set up and prepare for all home and away meets. This includes:

  • Coordinate with the Team Representative to arrange terms and conditions of all home and away meets.
  • Maintain all swimmer data in Swimtopia (website) and Meet Maestro (meet software).
  • Create all home meets and work with competing teams to ensure all meets are set up before the season start date.
  • Coordinate swim meet entries in conjunction with the coaching staff for every meet in accordance with the ODSL pre-established timeline.
  • Create the meet sheet for the meets and share it with the opposing and home teams.
  • At each meet, bring all needed equipment and train the computer meet volunteers on the meet procedures and data entry into Meet Maestro.
  • Print all necessary meet documents to include timer sheets, meet sheets, and swimmer check in lists.
  • After a meet, sync all swimmer data to ODSL as needed for home meets.
  • After the meet, print all ribbon labels for the ribbon writer volunteer.
  • Update the Records page of the website as new records are created.
  • Coordinate and order the posted record board and End of Year awards.
